Alumni Office

Position Title:

Alumni Office Student Worker

Required Schedule Flexibility

(1-5 scale with 5 as most flexible): 2

Job Description:

The Alumni Office, located in the Alumni Center, operates five days a week 8 am to 5 pm.  Alumni Office student workers assist the Director of Alumni Affairs in carrying out the tasks of the office.

Primary duties and responsibilities:

Thoroughly learn the computer system which involves more than just knowing how to operate a computer. All alumni records and accounts are maintained and updated in the Alumni Office on a database designed for alumni use,
Answer the phone properly, greet alumni and other visitors to the Center/Office, file, organize and carry out specific weekly-assigned duties, update files, proofread, pick up and deliver mail, and keep a list of supply needs,
ALUMNI NEWS: Alumni student staff do most of the typing and proofreading of this alumni publication that is published three times a year. Sometimes students are assigned articles to write for the publication,
HOMECOMING: Much work and planning goes into Homecoming each year. Students help with all phases from developing the chosen theme to working with reunion years, selling tickets, collecting dues and receiving contributions,
CLEANING: The Alumni Center is maintained by the Alumni Office student staff. Cleaning duties are divided evenly among the staff. Some jobs are weekly, while others are daily. It is very important one does the assigned job on the appropriate day to ensure that the Center is clean at all times.

Secondary duties and responsibilities:

Assist the Public Relations Office with bus tours as needed.

Basic Qualifications:

Dependable, loyal, honest, trustworthy, and a general interest in the College and its history,
Good office skills—typing by touch, filing, answering phones, etc.,
Good computer skills—MS Word, Excel, Publisher, Raiser's Edge.

Desirable Qualifications:

Pleasant personality,
Ability to work with others—teamwork,
Attention to detail(s),
Good people skills, especially patience when working with alumni,
Self starting - ability to work independent of direct supervision at times.

Learning Objectives:

The student will:
Learn the computer system and how to maintain alumni documents,
Be proficient in Microsoft Word and Excel programs,
Check alumni e-mail and respond or forward to the supervisor in a timely manner,
Have a thorough understanding of the Raiser's Edge database where alumni records are kept, and be able to post gifts and update constituent information as necessary,
Have the ability to run basic constituent queries in Raiser's Edge,
Learn professional telephone and office etiquette,
Be a "people-person": This means going above and beyond when it comes to serving constituents,
Keep up with weekly-assigned cleaning responsibilities,
Maintain a supply needs list on office marker board,
Pick up and deliver campus mail and run any other office errands that need attention,
Maintain Alumni Update files for upcoming issue of Alumni News. This means type, proof, and edit as necessary,
Be able to accurately answer questions about Homecoming, ranging from ticket and dues sales to the schedule of events,
Be detail-oriented in all areas of work - from cleaning to data entry,
Keep appropriate matters confidential.
