Education Department

Position Title:

Student Office Assistant

Required Schedule Flexibility

(1-5 scale with 5 as most flexible): 3

Job Description:

The student serves as an office assistant in the Education Department by providing support services to the faculty members and office assistant.  The Education Department operates Monday-Friday, 8 am – 5 pm, and is closed during the months of June and July, and during major holidays.

Primary duties and responsibilities:

Photocopy instructional materials for faculty members and staff,
Establish files and maintain documents related to the teacher education and student teacher programs,
Type faculty and staff requested documents as needed,
Score objective tests for Education faculty as requested,
Pick up and deliver mail from central Mail Operations,
Run errands by picking up or delivering documents from/to various departments on campus (e.g. Dean’s Office, Registrar, Library, etc.),
Answer the phone and take messages or provide assistance when the secretary is away,
Greet visitors (students, faculty, staff, prospective students and their parents) to the department and assist them as applicable.

Secondary duties and responsibilities:

Clean faculty offices and Education lab on a weekly basis,
Develop and maintain bulletin boards in the Education area,
Assist faculty and staff with miscellaneous tasks as needed,
Assist in preparing materials for special events (Beginning Teacher Workshop).

Basic Qualifications:

Effective written communication skills with an emphasis on accuracy (this includes typing and proof-reading),
Sound oral communication skills with an emphasis on clear voice, appropriate grammar, and a positive, helpful attitude,
Well-developed computer skills, especially word processing (Excel and Publisher skills are preferred but not required),
Strong ethics, with an emphasis on protecting confidentiality of student records, department information, and conversations,
Dependability (reporting to work as scheduled, on time and ready to work).

Desirable Qualifications:

Pleasant personality,
Ability to work well with others,
Positive attitude, with an emphasis on customer service,
Previous office experience preferred.

Additional Remarks

The Education Department is a great work assignment for those students who enjoy office work and are willing to work hard with an attention to detail.  Our department desires to be very customer-friendly (with our “customers” being students, faculty, staff, and visitors).  The atmosphere is positive and friendly.

Learning Objectives:

The student will:
Operate all office equipment (copy machine, laminator, die-cut, and binding machine) in order to be of assistance to faculty, staff, and students in the preparation of special projects, test, syllabi, learning materials, etc.,
Establish files and maintain documents according to office procedure related to the teacher education and student teacher programs,
Understand and follow protocol for day-to-day tasks (who to ask, what to do, where to go, how to file, etc.),
Utilize Microsoft Word, Excel, Publisher, and PowerPoint computer programs, with an emphasis on accuracy, to prepare faculty and staff requested documents and reports as needed,
Score objective tests for Education faculty,
Pick up and deliver mail from central mail operations,
Answer the phone in a professional manner (clear voice, appropriate grammar, positive/helpful manner) and take appropriate messages or provide assistance when the secretary is unavailable,
Politely and warmly greet visitors (students, faculty, staff, prospective students, and their parents) to the department/building and assist them as applicable,
Clean faculty offices and Education labs to ensure cleanliness and a positive, professional image for the department,
Use creativity and knowledge to develop and maintain bulletin boards in the Education area promoting the department and its clubs/organizations,
Assist the staff and faculty members in preparing materials such as nametags, certificates, and handouts for special events (Beginning Teacher Workshop),
Utilize email and phone to communicate with students, faculty and area school representatives in a professional manner,
Recognize the importance of strong ethics to ensure the confidentiality of student records, department information and informal conversations,
Recognize the importance of a positive attitude, spirit of cooperation, and strong customer-first approach in meeting the needs of the College and the department.
